Charting

Care plans, drafted by Ona

On a patient's Care Plans, open New plan and choose With Ona. Ona drafts the plan from their chart: Health concerns, Goals, Recommendations and Patient steps. In the bar at the bottom of the sheet, pick a template to start from or a past visit to draw on, transcript included, then tell Ona what to change in plain words. Edit with Ona, in a saved plan's menu, revises it the same way, and nothing is saved until you save. If you don't see Care Plans in the chart, turn it on under Settings → Care Plans.

A first draft from the chart, ready for your changes.

Also in charting

  • All of a patient's notes in one PDF. Open Export in a patient's chart and choose All notes as PDF. Every note comes in one file, oldest first and each on its own page, with signatures on the signed ones.
  • Discharge letters you've issued. Discharge letter…, under Export, now lists the letters already issued for the patient, to view, share or sign later. Search the reasons, or choose Other reason to write your own.

New

AI receptionist

Callers speak their own language

Under Settings → AI Receptionist, Languages sets the Main language and any Other languages callers can speak, out of ten, among them Spanish, French and Portuguese. The receptionist greets callers in your main language and switches when a caller speaks one of the others. The default greeting adds a line in each of them, so callers know they can. Notes for your team are always in your main language.

One main language, and the others your callers speak.

Choose how it sounds

Voice, at the top of Conversation, offers four voices: Jacqueline, Skylar, Jameson and Daniel. Play each one before you save. Jacqueline is the new default, so your receptionist may sound different even if you change nothing.

Also in the AI receptionist

  • A greeting that says it's virtual. Unless you've written your own Greeting, callers now hear "Thanks for calling", your practice's name, and that this is Ona, the clinic's virtual receptionist.
  • Where you are and when you're open. The receptionist now knows your address, opening hours, website and locations, so it can answer callers who ask. It takes them from your practice's settings, so keep them up to date.

Improved

Open notes

Open notes on your dashboard

On your dashboard, choose Customize, then Add widget, and drag Open Notes onto it. It counts the notes waiting for a signature and lists them longest-waiting first, with how long each has waited, in amber after three days and red after a week. Select a note to open the reviewer on it, or Review to start from the oldest. Owners and admins see everyone's notes, and clinicians see their own.

The notes that have waited longest, on the first page you open.

Fix a note before you sign it

In the reviewer, choose Edit or press E to change a note's title and text right where it is. Save keeps your changes, and you can sign straight after. Cancel leaves the note as it was.

Also in open notes

  • How long notes have waited. The Open notes card on Visits now shows the wait as a bar, split into Over a week, 4–7 days and Newer.

New

Memberships

Members who pay by cash, check or ACH

In a patient's Memberships, Enroll now offers Paid outside Ona beside Card on file, for members who pay you directly. Ona never charges them. Instead, Record payment logs each payment and the period it covers, as a paid invoice in the patient's billing. The membership shows when it's Paid through, and Payment due when the next payment hasn't come in. Included visits and member prices work as they do for any member.

Improved

Notifications

Every email, yours to edit

Every email your practice sends can now be edited under Settings → Notifications → Message templates → Edit templates, including invoices, payment reminders, receipts, invitations and task reminders. The editor opens full screen, with every template in one searchable list and a live preview beside it. Each email can also have a Heading, the large title at its top, apart from its subject. Billing emails also have a new default design.

New

Patients

Back to the patients you just had open

Open the command menu with ⌘K, and the last five patients you opened are listed first, under Recent patients. On Patients, turn on Show recent first in Filters to put them at the top of the list as well. Everyone has their own recent patients.

And more

Omnichannel

  • A colleague's reply isn't unread. Replies, bulk sends and calls from your teammates no longer count as unread for you: not in the Omnichannel badge, the unread counts, or the unread-message email and text. Messages from patients and contacts, and your team's internal notes, still do.

Billing

  • Sales tax on products. Give an item a Sales tax rate under Inventory, and it's charged on top when you add the item to an invoice. Any line on a draft invoice can take its own rate too, so you can tax products without taxing services.

Insurance

  • A billing provider per payer. Under Settings → Insurance → Billing Rules, a payer's rule can now set the billing provider its claims go out under, most often a different tax ID. To change it on a single draft claim, use Override for this claim.

Interviews

  • Interviews, redesigned for patients. An interview link now opens on a card listing its sections, with Start interview or Continue interview. The conversation fills the screen, moves on section by section and saves as it goes, so patients can close it and pick up where they left off.

Fixed

  • Reopened interviews. Patients who reopen an interview link now see their answers so far. Before, the conversation looked empty.
  • Unpaid online bookings. When a patient doesn't finish paying for a visit that requires payment to book, they can release the time, and it opens up again at once. Before, it stayed held for up to 30 minutes.
  • Chart opens in the activity log. Opened chart is now logged only when someone opens a patient's chart. Before, hover cards and other places that showed the patient logged it too.
