Ona drafts your templates, and you choose what patients fill in
Describe a form, consent or note template, or drop in a PDF, and Ona drafts it for you to refine. Choose what patients must give before they finish setup, photo ID included. Plus: attachments sent with your claims, a rebuilt template library and intake reminders of their own.

Templates
Describe it, or drop in the PDF
Start a new form, consent or note template on the Forms, Consents or Templates page, and describe what you need in the bar at the bottom of the builder. Or drop in the PDF you use today, and Ona turns it into a template. Once there's something on the page, tell Ona what to change, and the change lands in place. Restore previous version takes it back. Nothing is saved until you save the template.
Also in templates
- One library, on shelves. The library pages for consents, forms, note templates, interviews, care plans, procedures and supplements now list your own first, such as Your consents, with the Library below it, sorted into shelves you can search. A template you import from now on shows Added instead of Import.

Ask for what you actually need
Under Settings → Patients → Patient Intake, tick what patients must give before they can finish setting up their account or book online, from Phone number to Address, Emergency contact or Pharmacy. Name and email are always required. Date of birth and Phone number are ticked to start with, so untick them if you'd rather not ask. Require insurance and Require a payment method are on the same page too, and still on the Insurance and Stripe pages.
Photo ID before the first visit
Tick Photo ID on the same page, and patients upload the front and back of their driver's license or state ID as they set up, whether in the patient portal, while booking online or from a one-time profile link. Your team sees both sides under Photo ID in the patient's info panel, and can add or replace one in the patient's settings, such as a scan made at the desk.

- Set up before they book. New patients who sign up on your booking page now give their details, plus insurance or a card if you require them, in a Details step before they confirm. Before, they could book first and set up later. Visits your team or the AI receptionist books aren't affected.

Records that travel with the claim
Open a draft or rejected claim on Claims and add documents in the new Attachments card: drop in a PDF or image, or choose Attach a visit note to add one of the patient's signed notes. Label each with what it is, such as Progress report or Referral form, and it goes to the payer with every electronic submission, resubmissions included. This works when your clearinghouse is Ona, not Claim.MD. When a payer doesn't take electronic attachments, the card tells you, so you can fax or mail them instead.

Notifications
- Intake reminders, on their own. Reminders to finish forms, consents and interviews have moved out of visit reminders into their own Intake card under Settings → Notifications, and they go out even with visit reminders off. A service can set its own in its Intake row.
Fixed
- Calls ringing in the browser. Incoming calls now ring in your dashboard however long the tab has been open. Before, a tab left open for more than about five minutes could stop ringing.
- Cancellation and no-show fees. A fee is now charged only when your team confirms it. Before, one could be charged without asking if the fee preview failed to load, when a visit that had already happened was set to cancelled, or when a visit was marked a no-show before it started.
- Auto-charge. An invoice is now charged automatically at most once, so Don't charge stays put, and a patient with a second insurer isn't charged until that insurer pays. Before, a later payment from the payer could undo Don't charge or charge the card again.
