Recurring visits

Book the whole course in one go

When you create a visit, set Repeat to Daily, Weekly or Monthly, pick the days, and choose when it Ends: after a number of visits or on a date. Every date is listed with whether it fits availability, so you can Skip a holiday before you book. A series holds up to 52 visits within a year. The patient gets one message listing them all instead of one per visit, and intake goes out with the first visit unless you turn on Every visit for something they fill in each time.

Every date checked before you book, and the holiday skipped.

Change the rest without touching the past

Every visit in a series shows where it falls, such as Visit 3 of 10, with the whole series a click away. Choose Edit this and following visits to change the time, clinician, location or schedule from that visit on, while visits already behind you stay as they are. Cancelling one asks whether you mean This visit or This and following visits. End series cancels what's left without a fee, and the patient gets one message about it. The patient's Visits page lists their Recurring visits with the next one coming up.

Where this visit falls, and every other one in the series.

Also in visits

  • Saving a visit is quicker. A new visit saves straight away. The insurance check, draft claim, intake and notices follow a few seconds later, instead of holding the dialog open while a payer takes its time.
  • Closed hours, shaded. The calendar now shades the hours a location or room is closed. When you book, the schedule preview greys out time outside the practice's, location's, room's, clinician's and service's hours, not just the clinician's.

New

Body map

Point to where it hurts

Turn on Body map under Settings → Charting → Charting Sections, and a front and back figure joins the patient's chart and every visit. Click the body to place a pin: Pain, Numbness & tingling, Skin lesion, Wound, Injury, Scar & marks, Treatment or Note, each with the details that kind needs, such as intensity, size or wound bed. Each pin is named after the spot, down to the left knee. A visit shows what was charted in it. Earlier visits brings back past pins, and Chart again carries one into today's visit. Choose which kinds your clinicians can pin under Findings on the same settings page.

Today's findings, with last visit's still in view.

New

Billing

A second Stripe account for a second business

If part of your practice is its own business, such as a lab or a second clinic, it can now take payments into its own Stripe account. Under Settings → Billing → Stripe, choose Add billing profile, give it the Name patients see and an Invoice prefix, then create or connect its account. Services, packages and membership plans each name the profile they're paid through, and visits and invoices follow them. Your existing account keeps its invoice numbers and stays the Default billing profile. Auto-charge after insurance pays is paused while more than one is connected.

Also in billing

  • Find any invoice. Search Invoices by patient name or invoice number from the box at the top of the filters.
  • Invoices grouped by what's next. Invoices now sit under what needs doing, such as Ready to send, Overdue, Awaiting insurance and Refund due, and each says how long it has waited. Claims show how long they've been unbilled or with the payer, and why one was rejected or denied.

New

Insurance

Payer payments, matched to your bank

Every check or EFT a payer sends now has its own row. On Claims, open the ERAs card and switch to Payments to see each payment's claims, its ERAs, and why the deposit differs from the claims. When the money reaches your bank, choose Mark reconciled and add the deposit date, or select several payments that arrived as one deposit. Payments still open a week after the payer paid are marked Overdue, and Export downloads the list.

Bill a case through the case

A case can now carry its own billing. In the case's Billing section, choose how to Bill visits as, the insurance, the authorizations and the referring provider, and for injuries whether it's work-related or an auto accident. Claims for the case's visits are filled from it. The case shows what's been Charged, what Insurance paid, what's Awaiting payer and what the Patient owes. Workers' comp and auto cases warn you when the claim number or injury date is missing. Cases are turned on under Settings → Care → Cases.

Improved

Consents and forms

Patients know exactly what's left

When a patient reaches the end of a form or consent with required questions still open, it now says how many and names them, and Go to it takes them straight there. Each one gets a red outline and a hint, such as "Write an answer to continue." While they scroll, Next unanswered jumps to the next gap. Before, the button simply stayed grey.

Also in consents and forms

  • Whose form it is. Forms and consents now show the patient's name and date of birth at the top, with their phone and email partly hidden. Exported PDFs of forms, consents and notes print the patient's details in full.
  • Blank copies of any template. Choose Print blank copy or Download blank copy from a template's menu in the library to get a paper version with lines for the patient's name and date of birth.

And more

Practice branding

  • Your icon in the browser tab. Upload a square icon under Settings → Practice → Organization → Logo and icon, and it replaces Ona's in the browser tab on your booking page, form links, sign-in pages and patient portal.

Faxes

  • Sign before you send. In Send a fax, open an attached PDF in the same editor as Edit & Reply to fill it in and drag your signature onto the line, then Sign & send.

Fixed

  • Long recordings. In-person recordings over about 100 MB now save, with a progress bar while they upload. Before, a long visit's recording failed to save. Upload a recording now takes files up to 800 MB.
  • Patient names in reminders. Reminders, confirmation requests and cancellation and reschedule notices now greet patients by the name on their profile. Before, a patient booked without a name was greeted "Hi undefined,".
  • Package visits on cancel. Cancelling a visit now gives it back to the patient's package. Before, it stayed used up. A no-show still uses it.
  • Service facility on claims. A claim for a visit with no location now uses the service's location as the service facility (Box 32), and visits booked online or by the AI receptionist keep the service's location. Before, it was blank.
  • Summaries that never came. A form or interview without an AI summary now says "No summary available for this form." instead of showing "Generating insights…" forever.
