Ona Health
AI Receptionist

Never miss a call, never skip a patient.

Our AI receptionist picks up every call, books appointments against your live calendar, and routes anything urgent to a human — 24/7, no voicemail hell.

  • Call answering
  • Books against your calendar
  • Escalation to humans
  • Structured intake capture

The phone is still the busiest door to your practice — and it's the one most clinics leave half-open. Missed calls become missed patients. Voicemail tag takes hours. An intake that starts with “hi, can you hold?” doesn't feel like care.

Ona's AI receptionist is designed to answer the call, book against your actual calendar, triage urgent callers to a human, and write the rest up as a clean record in the chart. It's rolling out to early-access customers now — the rest of Ona (the calendar, intake, chart) already exists underneath it.

01 · Why it matters

A missed call is a missed patient.

Front desks get pulled in three directions at once. The phone is usually the one that suffers.

Your front desk is already doing three jobs — checking people in, taking copays, and fielding the phone. The phone is the one that loses. New patients hear a ring-out, current patients get sent to voicemail, and everyone ends up frustrated.

The fix isn't another hold tune. It's an extra pair of earson the line that doesn't sleep, doesn't take lunch, and speaks your scheduling rules natively.

02 · What you get

A receptionist with no coffee breaks.

Answers the call

Not a voicemail box. Calls pick up within seconds — during lunch, after hours, and when the front desk is already on another line.

Books against live availability

It reads the same calendar your clinicians do. No double-bookings, no phantom slots, and no “let me call you back” — the appointment lands on the books before the call ends.

Scripts you control

Your hours, your services, your cancellation policy, your voice. Script edits publish without an engineering ticket — you're tuning language, not re-platforming.

Multi-language support

Works in the languages your practice already serves. Callers choose, or the agent picks up on the first few syllables and adapts.

HIPAA from the first word

Calls are encrypted in transit and at rest. PHI stays in your tenant. Every call is logged with a full transcript tied to the patient record.

Knows when to hand off

Urgent symptoms, billing disputes, anything your rules flag as human-only — warm- transferred to a staff member with full context. No awkward restart.

03 · On the line

How a call is meant to flow.

  1. Caller dials, the agent picks up

A natural, unhurried greeting in your practice's voice. The caller doesn't need to press numbers or say keywords — they just talk.
  2. Intent detected in real time

Booking? Rescheduling? Results follow-up? Prescription refill? Each intent routes to the right flow — with a clear escape hatch to a human whenever needed.
  3. Scheduling against your live calendar

The agent checks availability, accounts for service duration, clinician preferences and buffer times, and offers real slots. Booked in seconds.
  4. Wraps up as a chart-ready record

Confirmation SMS and email to the patient. Transcript, recording, and structured intake land in the chart before the call disconnects.

04 · In practice

What it's for.

Solo MD, no front desk

The phone stops being the bottleneck.

New-patient calls get triaged, intake captured, and booked — while the clinician is still in a visit. No one's paid to watch the phone; no one needs to.

Multi-site group

One receptionist across every location.

Callers reach a single number and land on the right calendar, regardless of which clinic they wanted. Staff hiring stops being a per-location problem.

Concierge + after-hours

Members get a human feel, 24/7.

VIP callers recognised by phone number get bespoke greetings and priority escalation paths. The same rails handle after-hours calls for everyone else.

Bilingual community clinic

Care in the caller's first language.

Spanish-speaking patients don't wait for the bilingual coordinator to be free. The agent handles the full flow in their language and writes the chart note in English.

FAQ

What clinics ask before turning it on.

Is this generally available today?
It's in early access. The calendar, intake capture, and chart pieces it writes into already exist inside Ona — the receptionist layer is rolling out clinic by clinic. Get in touch if you'd like to be early.
Will my patients know they're talking to AI?
We recommend disclosing it once, up front — most patients are fine with it, and the honesty builds trust. The voice is natural enough that the experience feels familiar.
What happens if someone asks something sensitive?
Sensitive flows — mental-health distress, medication overdose, safety concerns — bypass the agent entirely and ring a human on your team. You choose the escalation list and the hours.
Can it handle our existing phone number?
Yes. We port your number (or run in parallel first while you test). Nothing changes for your patients except that the phone gets answered.
Does it work with our existing PMS/EHR?
Ona is the chart, so the receptionist and the calendar are already the same system. If you're running us alongside another PMS, we can sync slots in both directions.
