Referrals, rebuilt around the patient — and discharge letters

Incoming referrals get a new inbox and a side-by-side reading view, their diagnoses and medications land in the chart once you link the patient, and every referring NPI is checked against the national registry. Plus: a Faxes page on every chart, and discharge and termination letters generated from it.

An inbox that shows what still needs you

Every referral is a row now: the patient, the reason, who sent it, their insurance, and whether it's been matched to someone in your practice. Urgent referrals are marked in red before you open anything.

The panel on the right filters by status and by Linked or Unlinked, and Inbox health counts what's still waiting — so the number that matters, the referrals nobody has matched yet, is always in view.

Open a referral and the original document sits on the left, with what Ona pulled out of it on the right: the reason, urgency, specialty, what's being requested and the clinical summary. Every value carries the page it came from, so checking one is a glance, not a hunt.

Diagnoses and medications that land in the chart

Ona now reads diagnoses, medications and allergies as coded records — ICD-10 and SNOMED, not just text — and the moment a referral is linked they appear in the patient's chart as suggestions. Each one says it came from a referral, and on which page. Confirm keeps it; Dismiss throws it away. Nothing becomes part of the record without you.

Every referring provider checked against the NPI registry

The referring provider's NPI is looked up in the national NPPES registry as soon as you open the referral. A match shows Verified, along with the specialty, location and phone number the referral itself may have left out.

When the number is misread, isn't registered, is deactivated or belongs to someone else, you're told straight away — rather than finding out weeks later from a denied claim.

Faxes on the patient's chart

Every fax about a patient, in one place

The chart has a Faxes page now. It lists everything linked to the patient — received and sent together, with an arrow for which way each one went — and opens them in the same reader as the fax inbox.

Discharge letters

End care properly, in a few minutes

When care is ending — because the goals were met, or because the practice is ending the relationship — start a letter from Export → Discharge letter… on the patient's chart. Choose discharge or termination, set the effective date, tick the reasons that apply, and sign on screen. The signed PDF is kept on the chart and can be downloaded or faxed from there.

Also in discharge letters

  • Filled in from the chart. Patient details, address and active prescriptions come across on their own; change anything for this letter only.
  • Your practice's wording. Under Settings → Discharge letters, set the grace period, which reasons clinicians can pick, where patients are pointed for a new provider, and your own closing text.
  • Unsigned when you need it. Generate a letter to print and sign by hand, and void one that went out wrong — the original stays on the chart as a record.
