Cancellation fees, promo codes and your practice's colors
Charge for late cancellations and no-shows, offer promo codes, and show your practice's colors on every page patients see. Plus: copy forward a past note, ask Ona about any passage, loop and matrix blocks in templates, one place for the copay, and full history for archived patients.

Practice branding
Your colors on every patient page
Pick an Accent and a Background color under Settings → Practice → Organization → Colors. Buttons, links, tabs and the page background take them on your welcome page, booking page, form links, sign-in pages and across the patient portal. Leave them unset and patients keep seeing Ona's coral. Ona won't save a background too dark to read text on.

Cancellation fees
Charge for late cancellations and no-shows
Turn on Charge a late cancellation fee, Charge a no-show fee or both under Settings → Billing → Cancellation Fees. Set the Cancellation window, and make each fee a fixed amount or a percentage of the visit's self-pay price. Under Collecting fees, choose to leave the invoice as a draft, email it to the patient, or charge the card on file. Fees only apply from when you turn them on.
Confirm or waive it, visit by visit
When you cancel a visit inside the window or mark it as a no-show, Ona shows the fee and asks you to confirm. Switch the charge off to waive it. The fee is its own invoice, shown on the visit's Billing tab and included in its Balance. If you un-cancel the visit, an unpaid fee is voided.

Promo codes
Discounts patients enter when they pay
Create codes under Settings → Billing → Promo Codes once Stripe is connected. A code can take a percentage or an amount off everything, or only off the services, packages and memberships you choose. It can also expire or have a usage limit. For memberships, choose whether it discounts the first payment or every one.
Patients enter a code when they pay online: on your booking page, and on a self-pay invoice in the patient portal. The discount shows on the invoice as Promo code. When a code covers the whole price, the booking goes through with nothing to pay.
Improved
Charting
Start a note from a past one
New note now opens one picker with three ways to start: a Blank note, a template for Ona to generate, or one of the patient's past notes to Copy forward. Search templates and notes together, and preview the highlighted one in full. Suggested puts the patient's last note and its template first. Copying forward puts the note's content, template and title in a new draft for this visit, and the original doesn't change.
Ask Ona about any passage
Select any text in a draft and choose Regenerate to rewrite it from the record, or Polish to tidy the wording. The selection can span paragraphs and mix your words with Ona's. The suggestion shows the original crossed out above the new text, for you to Keep or Discard. You can ask about several passages at once, then Keep all or Discard all.
Also in charting
- Ona's words, marked in the margin. Text Ona wrote now reads like the rest of the note, with a coral bar in the margin beside it. Hover the line to see exactly which words are Ona's.
- A tidier formatting toolbar. Text styles and lists are in their own menus. Underline, strikethrough and links are under More formatting.

Templates
Loops: one section per item
Add a Loop to a note template to repeat a section for each item, such as each problem addressed or each knee. You can list the items under For each, or turn on Ona lists the items and say what Ona should look for in the visit. Each item gets its own heading and its own filled copy of the section.
Matrix questions
Single choice matrix and Multiple choice matrix blocks ask several statements on the same set of answers, as a grid. In forms, you can score a single choice matrix statement by statement, with reverse scoring where you need it. Note templates have them too, and Ona answers each statement. When you import a PDF, a grid comes in as one matrix.
Follow-up questions, grouped
Form blocks next to each other that share the same Show if now sit in one group, under a header like Shown when "Do you smoke?" is Yes. Click the header to change the condition for the whole group, and use Add to group to add another question. Existing forms are grouped for you. Patients see no change.
Also in templates
- One layout for every block. Blocks in the form, note and consent builders show only the settings that are on, such as Required or Show if, along their top. The rest appear when you point at the block.
- Clinician answers. In note templates, Ona fills this is now Clinician answers, off by default. Turn it on for anything Ona should leave to the clinician.
