Guardians
A parent or caregiver on the patient's account
Give a parent, legal guardian, caregiver or spouse access to a patient's portal. Open the patient's Details & Settings, go to Guardians & Family and click Add guardian. Pick someone already on file, or choose New person to add them and send a portal invitation in one step.
A guardian can fill in and sign forms, consents and interviews, book and manage visits, pay invoices and see the patient's records. For a patient under 18, access ends on their 18th birthday. For everyone else, it lasts until you revoke it.
Everyone who looks after a patient, in one place
Guardians & Family lists each guardian with their relationship, email and end date. It also marks invitations that haven't been accepted yet. Click the × on a guardian to revoke their access. Revoked and expired guardians stay on the list, greyed out, as a record. On a parent's own chart, Guardian of shows the patients they look after.
Forms reach the guardian when the patient can't
When you send forms, consents or interviews to a patient who has no email or mobile number, the dialog tells you their guardian will see them. The documents appear in the guardian's portal under that patient's profile, and you still get a link you can share.
One sign-in for the whole family
In the patient portal, a guardian finds a Family section on their home page, with a card for each person they look after showing what's left to do. Tapping a card switches to that profile. A banner stays at the top while they're acting for someone else, with Switch back to me. Messages and account settings stay with the patient.
Emails go to the guardian
When a patient has no email address, visit, form, invoice and quote emails go to each guardian who has Send notifications to this guardian turned on. The subject starts with the patient's first name, and a link in the email opens the portal straight on the patient's profile.

Charting
Notes open in tabs, next to the chart
Summary is now Charting. The Overview tab holds the patient's summary and records, and every note you open gets its own tab beside it. You can move between the chart and several notes without closing anything. To move a note from the side panel into a tab, click the expand button next to Share. Sign and share work the same in a tab as in the panel.
Unsigned notes open as tabs the first time you open the chart. Your tabs stay open when you reload the page, and the note in front is part of the link, so you can share it. Visits get the same tabs, with the visit's canvas as the Overview tab.
Also in charting
- Nothing lost when you close a tab. Closing a note with unsaved changes asks whether to keep editing or discard them. Middle-click closes a tab, and the arrow keys move between tabs.

Settings
Clearer settings
Settings now opens on an Overview of everything you can set up, grouped by area: Account, Practice, Team, Communication, Growth, Scheduling, Billing, Insurance, Charting, Care and Dispensary.
Also in settings
- New pages. Scheduling → Availability and Scheduling → Online Booking replace the old Booking settings. Growth → Website Widgets replaces Website & Widget. Your logo and welcome page are now under Practice → Organization.
- Fee Schedule moved to Billing. Clinics that don't bill insurance can now open it too, to set what self-pay patients are charged for each CPT code.
New
Memberships
Recurring plans for ongoing care
Create membership plans on the Services page with New membership. A plan can include services, packages and custom items such as a supplement box, each refilled every month, every year or once in total. Choose whether it runs until cancelled or for a set number of payments.
Patients join from your booking page and book their first visit straight away. Staff can enroll a patient from their chart with Enroll in a membership. Every payment is recorded as a paid invoice, such as "Gold membership · payment 2 of 6". Turn memberships on under Settings → Billing → Memberships once Stripe is connected.
Improved
Scheduling
Know when a visit is outside availability
Set opening hours and booking rules under Settings → Scheduling → Availability: minimum notice, booking window, buffer, start times, visits per day and overlapping visits. Locations, rooms and services can each have their own hours, and Bookable times previews what patients will see online.
When you book or move a visit, the dialog now tells you if it's outside availability or clashes with the calendar, and why. It might be outside opening hours, the clinician might already be fully booked that day, or they might be busy in Google Calendar. You can still book it with Book anyway. Patients booking online can't.
Also in scheduling
- Cap visits in a block of hours. Give a block of hours a Max visits in this block. Online booking closes once that many visits start in the block, and staff can still add more.
- Booking on your website. Under Online Booking → Booking widget, embed booking on your site in the page, as a floating button or behind your own button. You can also start it on a specific service, membership, package or clinician.
Improved
Insurance
Benefits verification, before the visit
A new Needs Verification dashboard widget lists insurance visits in the next two weeks that need attention, such as a copay that isn't confirmed, an authorization that's needed, or coverage that's changed or inactive. After a call with the payer, use Record benefits verification to save the confirmed copay, coinsurance and call reference. It can apply to all of the patient's visits, one visit type or a single visit.
On a visit, you can also set the copay, waive it with a reason, or verify it again. When a patient's insurance changes, Ona runs a new check, and upcoming visits are checked again before the day.
And more
Leads and website
- Contact widget. A new enquiry form you can embed on your website, set up under Settings → Growth → Website Widgets. Choose one column or two. Each enquiry becomes a lead, or is added to the lead or patient it matches.
- Where website leads come from. Leads from your website now show the channel and platform, such as "From Google · Paid search", along with the campaign, keyword and the page they landed on. The new Website leads report in Reports breaks them down and shows how many converted.
Documents and recordings
- Blank paper copies. For a pending form or consent, choose Print blank copy or Download blank copy to hand a patient a paper version. Questions are numbered, follow-up questions say when to answer them, and consents include a signature line.
- Archive recordings. In a visit's recordings, Archive moves a recording to the bottom of the list. From there you can restore it or delete it for good. Video visit audio now plays each participant on its own track, in sync with the transcript.
Fixed
- Claim units. Changing the units on a draft claim line now updates its charge. Procedures under a service booked for more than one unit are priced for every unit.
- Signing in from an email. A link from an email that asks you to sign in now opens the page it pointed to, such as a specific invoice, after you sign in. It no longer drops you on the portal home.
- Emails with only attachments. An email with attachments and no text now sends. Before, it failed.
