Inviting your team & roles
Invite team members by email and combine the Admin, Clinician, and Staff roles to control what each person can do.
Team members live under Settings → Team Members — "view and manage your team members".
The team list
The table shows six columns:
- Name — display name with credentials, e.g. "Arnold Bays MD, PhD".
- Email — the address the invitation went to.
- Roles — one or more role badges. A person can hold several, e.g. Owner and Clinician.
- Licence — prescribing status. Licensed means the member is set up to prescribe.
- Status — availability, e.g. Available.
- Joined — the date they joined. Click the header to sort.
Use the Status and Role filters above the table to narrow a longer list.
Invite a member
Click Invite Member in the top right.
- Email (required) — where the invitation is sent.
- Roles (required) — defaults to Clinician.
- Display Name (required) — how their name appears in Ona, e.g. "Dr. Jane Smith". They can refine this later on their own profile.
The footer reads Email and display name required until both are filled, then Send invitation becomes available.
Choosing roles
Open the Roles dropdown.
Three roles can be assigned:
- Admin — administrative access to settings and configuration.
- Clinician — sees patients, charts visits, signs notes. The default.
- Staff — front-desk and support work.
They are checkboxes, not a single choice, so one person can hold several. A practice manager who also treats patients can be both Admin and Clinician.
Owner appears in the team list but not in this dropdown. It belongs to the account that created the organization and is not assignable when inviting.
Roles interact with the Patient Visibility setting under Settings → Organization. If that's set to Assigned Patients Only, a new Clinician sees nothing until patients are assigned to them — worth knowing before someone reports an empty patient list on their first day.
After you invite
The invited person receives an email and appears in the list straight away, so you can see at a glance who has yet to accept. Their Licence stays blank until prescribing is set up separately through DoseSpot.
