Your NPI and individual insurance details
Add or update the rendering provider NPI used for your insurance claims. Owners and admins manage organization insurance setup from Insurance settings.
Insurance details are managed in Settings → Insurance. In the left sidebar, click Settings (at the bottom). In the settings menu, under Insurance, click Insurance. Clinicians who are not owners or admins see their own individual billing NPI. Owners and admins see the organization-wide insurance setup used for claims.
How do I update my rendering provider NPI?
In the left sidebar, click Settings (at the bottom). In the settings menu, under Insurance, click Insurance to enter the NPI that identifies you as the rendering provider on insurance claims. This page is the clinician view when you do not have the Owner or Admin role.
- In the left sidebar, click Settings (at the bottom). In the settings menu, under Insurance, click Insurance.
- Enter your rendering provider NPI.
- Save your change.
Your rendering NPI is updated on your member record.
How do owners and admins manage insurance setup?
In the left sidebar, click Settings (at the bottom). In the settings menu, under Insurance, click Insurance. Owners and admins use this page to manage the insurance flow and the billing provider details used on claims.
From this page, owners and admins can:
- Enable insurance features for the organization.
- In Patient intake, turn on Require insurance when patients must add at least one plan before finishing intake.
- Complete the billing provider details used for claims.
- Manage team rendering NPIs.
Flow settings and billing provider details save automatically. If a flow setting cannot be saved, Ona shows Couldn't save and restores the last saved setting. If billing provider details cannot be saved, Ona shows Couldn't save and asks you to try again.

Why do clinicians and admins see different Insurance settings?
In the left sidebar, click Settings (at the bottom). In the settings menu, under Insurance, click Insurance. This page changes based on your role. Clinicians who are not owners or admins manage their own rendering NPI. Owners and admins manage the organization-wide insurance configuration, including patient intake insurance requirements and billing provider details.
If you are both a clinician and an owner or admin, the organization setup view takes priority.
What can't I do here?
In the left sidebar, click Settings (at the bottom). In the settings menu, under Insurance, click Insurance. Access is limited by role:
- Clinicians who are not owners or admins can manage their own individual billing NPI, but they cannot manage organization-wide insurance configuration from this page.
- Only owners and admins can manage the organization insurance flow and billing provider details.
Common questions
What is my rendering provider NPI used for?
It identifies you as the rendering provider for insurance claims that need your individual NPI.
Why don't I see the insurance flow settings?
You may be signed in with the Clinician role only. Clinicians see the individual NPI page unless they also have the Owner or Admin role.
Who can change organization insurance settings?
Owners and admins can change the organization insurance flow, patient intake insurance requirement, billing provider details and team rendering NPIs. In the left sidebar, click Settings (at the bottom). In the settings menu, under Insurance, click Insurance.
Do changes save automatically?
The owner and admin insurance setup page saves flow settings and billing provider details automatically. The clinician individual NPI page saves your rendering NPI separately.
What should I do if organization insurance settings will not save?
Check that the billing provider details are complete, then try again. If the insurance flow setting will not save, make sure a clearinghouse is selected before trying again.
