How Ona's AI works with your data
Understand where Ona uses AI in the clinic workflow, what it can draft or suggest, and where your team reviews before keeping information.
Ona uses AI in several places in the dashboard, including Ona Assistant, AI-supported note editing, and visit recordings with transcription. These tools help draft, summarize, polish or suggest information. Treat AI output as something to review, not as a final clinical decision.
What is Ona's AI?
In Ona, AI is a set of tools that helps your team work with information already available in the dashboard.
In Ona Assistant, AI appears as a chat panel. Open a patient (in the left sidebar, click Patients, then click the patient's name) or open a visit (in the left sidebar, click Visits, then click the visit) to give the assistant patient or visit page context. It can work with attached patient or visit page context and with files you add to a message. In notes, AI can suggest text or answers for a specific part of the note. In visits, saving a recording can start transcription.

When should I use AI in Ona?
Use AI when you want help turning available context into a useful draft, not when you want to skip review.
Common uses include asking Ona Assistant a question while you are viewing a patient (in the left sidebar, click Patients, then click the patient's name) or a visit (in the left sidebar, click Visits, then click the visit), attaching files to a chat, polishing note text, filling a note answer, or saving a visit recording so transcription can start.
AI can speed up drafting, but your team still checks the result before relying on it.
How does Ona Assistant use patient or visit context?
Open a patient (in the left sidebar, click Patients, then click the patient's name) or open a visit (in the left sidebar, click Visits, then click the visit), then open Ona Assistant. Attached page context shows as badges in the chat. The badges can identify patient detail or visit detail context, so you can see what the assistant has available for the current conversation.
You can remove an attached context from its badge before asking your question. You can also open Chat history, load an earlier conversation, or start New chat.

How do file attachments work in Ona Assistant?
Open Ona Assistant from the dashboard. In Ona Assistant, you can attach files to a message when the assistant needs a document or image as part of the question.
You can attach images in JPEG, PNG, WebP or HEIC format, plus PDFs. Each file can be up to 10 MB, and a message can include up to 5 files.
Attachments upload before the message is sent. If a file type is unsupported, Ona skips it and shows Unsupported files. If a file is too large, Ona shows Files too large. If an upload fails, remove the failed file and try again.
A message can include text, attachments, or both. Image and file attachments appear in the conversation after they are sent.
How does AI help with notes?
Open a visit (in the left sidebar, click Visits, then click the visit). In notes, Ona suggests content for a specific target instead of rewriting the whole chart without a review point. A suggestion can target an inline AI element, a selected passage, or a note block.
Ona can fill an empty target, regenerate existing content, or polish a selected passage. If a polish finds nothing to improve, nothing is added to the note.
Ona keeps track of what was there before the suggestion. The clinician can keep the AI wording, discard it and restore the prior content, or edit the proposed wording. Editing what Ona placed counts as keeping the changed version. For selected passages, keeping removes the revision marker from the note.
AI can also suggest answers for structured note blocks. Review those answers in the note before you keep them.
How do visit recordings and transcription work?
Open a visit (in the left sidebar, click Visits, then click the visit). Recording controls can capture audio through the browser microphone and save it to the visit.
After you stop an in-person recording, you can play it back, change the Label, choose Discard, or choose Save recording. When the recording is saved successfully, Ona shows Recording saved and Transcription has started.
If the browser blocks microphone access, Ona shows Mic blocked and asks you to allow microphone access in the browser.
A recording in progress stays attached to the visit it started on while you move around the dashboard. If you try to leave the clinic dashboard with a recording in progress, Ona warns that the recording stops and its audio is discarded unless you save it first.

How does AI work in video visits?
Open a visit (in the left sidebar, click Visits, then click the visit). In a video visit, the visit dock can show video-call controls and a transcription setting. If the call is already in progress, changing the transcription setting requires confirmation.
The warning explains that changing the recording setting restarts the meeting room. Everyone currently in the call, including the patient, is disconnected and has to rejoin using the same link.
To leave the setting unchanged, choose Keep as is. To continue with the change, choose Turn on and reconnect or Turn off and reconnect.
Common questions
Does AI add information to the chart automatically?
For notes, AI suggestions appear as draft content that a clinician can keep, discard or edit. Review AI output before relying on it in the record.
Can I remove page context from Ona Assistant?
Yes. Open Ona Assistant from the dashboard. Attached contexts appear as badges in Ona Assistant, and each badge has a remove control.
What file types can I attach to Ona Assistant?
You can attach images in JPEG, PNG, WebP or HEIC format, plus PDFs. Each file can be up to 10 MB, with up to 5 files total.
What happens after I save a recording?
Open a visit (in the left sidebar, click Visits, then click the visit). Ona saves the recording and shows that transcription has started. If saving fails, Ona keeps the recording in review and shows Save failed.
Can I discard an AI note suggestion?
Yes. Open a visit (in the left sidebar, click Visits, then click the visit). Discard restores what the target held before the AI suggestion. If the suggestion made no change, discarding removes the review marker for that suggestion.
