Patient statuses and tags
Use this reference to understand patient status badges, patient tags, visit tags, and the filters that use them.
Patient statuses are lifecycle and invitation states. Tags are practice-defined labels with a name and color. Patient tags and visit tags are separate tag lists, so a label created for patients is not the same as a label created for visits.
Patient status badge states
In the left sidebar, click Patients to see patient status badges in the patient list. Patient status badges show the most important visible state for the patient record. When more than one state applies, the badge uses this order: Archived, Inactive, Invited, then Active.
| Badge | What it means | Actions shown from the badge |
|---|---|---|
| Archived | The patient is archived. This overrides the patient's regular status and invitation state. | If available, the badge menu shows Unarchive patient. Status and invitation actions are hidden while the patient is archived. |
| Inactive | The patient status is inactive. This takes priority over a pending invitation. | If the badge is interactive, the Status menu can offer other patient status choices. |
| Invited | A patient invitation has been sent, and the patient is not archived or inactive. | The Invitation menu can show Copy invitation link for a valid link and Resend invitation when resending is available. |
| Active | The patient status is active, and the patient is not archived, inactive or showing as invited. | If the badge is interactive, the Status menu can offer other patient status choices. |
An expired invitation still shows Invited, but Copy invitation link is not available. Use Resend invitation when that action is available.
Patient filters
In the left sidebar, click Patients to use patient filters. Patient filters narrow the patient list without changing patient records.
| Filter | What it does |
|---|---|
| Search | Searches the patient list. |
| Status | Filters by patient lifecycle status. |
| Invitation | Filters by invitation state. |
| Balance | Filters by the selected balance option. |
| Tags | Filters to patients with the selected patient tags. Selected tag chips show a check mark. |
| Show archived | Includes archived patients in the patient list. Archived patients appear with the Archived badge. |
| Reset | Clears active filters, including search text, selected tags and Show archived. |
When tag management is available in the patient filters panel, Manage appears next to Tags.
Patient tags and visit tags
For patient tags, in the left sidebar, click Patients, then click the patient's name. For visit tags, in the left sidebar, click Visits, then click the visit. Patient tags and visit tags belong to different tag lists.
| Tag type | Where it applies | What is managed |
|---|---|---|
| Patient tags | Patient records and patient filters. | The patient tag list for your organization. |
| Visit tags | Visit records. | The visit tag list for your organization. |
Each tag has a name and a color. The color helps the tag stand out in lists, pickers and filters.
Tag picker controls
Open a patient record from the left sidebar by clicking Patients, then the patient's name, or open a visit from the left sidebar by clicking Visits, then the visit. The tag picker adds and removes patient or visit tags on a record.
| Control or state | What it means |
|---|---|
| Add | Opens the tag picker when no tags are selected. |
| Selected tag badges | Show the tags already applied to the record. If there are more selected tags than the picker can show, the rest appear as a numbered count. |
| Tag row with a check mark | The tag is selected for the record. Selecting it again removes it. |
| Create new tag | Starts a new tag from inside the picker when tag creation is available. |
| Create | Saves the new tag from the picker. If the new tag is created successfully, it is selected for the record. |
| Saving… | The tag selection is being saved. Tag rows are disabled while saving. |
The tag picker can search available tags. If creation is available and the search text does not exactly match an existing tag, the picker can offer to create a tag from that text.
Manage tags controls
In the left sidebar, click Patients to manage patient tags from the patient filters, or open a record from Patients or Visits to manage the tag list you are working in. Manage tags opens the tag administration panel for the tag list you are working in, such as patient tags or visit tags.
| Control or state | What it does |
|---|---|
| Manage | Opens the Manage tags popover. |
| Existing tag list | Shows tags sorted by name. |
| Inline edit | Lets you rename or recolor a tag, then save or cancel the edit. |
| Add | Creates a new tag from the Manage tags panel. The button appears after a tag name is entered. |
| Delete tag? | Confirms deletion before a tag is removed. |
| Cancel | Closes the delete confirmation without deleting the tag. |
| Delete | Deletes the tag. The confirmation states that the tag will be removed from the records in that tag list and that this cannot be undone. |
Deleting a tag removes the tag itself from that tag list. It is not the same as removing a tag from one patient or one visit.
Limits and disabled states
In the left sidebar, click Patients for patient status and filter controls, or open a record from Patients or Visits for record tag controls. These rules affect status and tag controls.
| Rule | What you see |

| Expired patient invitation | Copy invitation link is not available. |
| Blank tag name | Create and save actions for a tag are disabled until the tag has a name. |
| Tag color | Tags must have a color; the tag color picker does not include a no-color option. |
| Saving tag selection | Tag rows are disabled while Saving… is shown. |
| Current patient status | In an interactive Status menu, the current status is disabled and marked with a check. |
