Ordering imaging

Create imaging orders from a patient's chart or a visit, choose how to send the requisition, and update the order as it is scheduled and performed.

Imaging is where you place requisitions and track them until the report comes back. Open a patient's chart or a visit and click Imaging to create and manage imaging orders.

How do I start a new imaging order?

In the left sidebar, click Patients, then click the patient's name. On the patient chart, click Imaging. If you are working from a visit, click Visits in the left sidebar, then open Imaging on the visit.

If there are no records yet, the page shows an empty state and the rail shows separate empty orders and reports sections. If there are existing records, the rail groups them into records in progress, follow-ups due, reports, and closed or archived records.

  1. Click New order. If you are ordering the follow-up recommended on a report, open that report and click Order beside the follow-up instead.
  2. In Exam (1), choose the study. Complete Side, Contrast, Coverage, and any other exam-specific options that appear.
  3. In Reason for exam (2), enter why the study is needed. In Diagnosis (3), add at least one diagnosis.
  4. In Imaging center (4), choose where the order will go. In Payment, confirm the payment option, add a quoted price if you choose Cash, and add authorization details if those fields appear.
  5. Complete Safety check if it appears. Use Confirm all when every row is already correct, or update any row before you confirm it.
  6. Review Sends with the order. The signed requisition is always included, and you can turn other available documents on or off before you sign.
  7. Select Preview if you want to check the requisition first. Then select Sign and fax (5), or open More ways to send and choose Sign and print or Sign and give to the patient.

After you sign, the order opens in Imaging with its progress bar, requisition details, and next-step actions. If you sign on paper, Ona opens the requisition PDF for you to review or print.

On a phone, New order opens as a full-screen panel. Use the X at the top right to close it. Because it is a side panel, it does not swipe away.

When Ona drafts the order, the notes at the top of the sheet only appear when Ona offers more than one order or has a warning for you to review.

How do I keep the order moving after I sign it?

On the same page, select the order you want to update. The status bar shows the order moving through Signed, Sent, Scheduled, Performed, and Report.

  1. Read the status bar (1) and next-step message (2) to see what the order is waiting on.
  2. If the order is signed but not sent, use the action area (3): select Send by fax, or select Mark sent and then choose Printed or Given to the patient.
  3. When the imaging center schedules the study, select Mark scheduled, choose the date, and select Save.
  4. If the date changes later, select Change date, pick the new date, and select Save. To remove the date, select Clear date.
  5. After the study is done, select Mark performed.
  6. If the report comes in outside the fax flow, select Upload report. In the upload dialog, use Order to file the report against an open order, or leave it as No open order if it stands on its own. The upload accepts one PDF, JPG, or PNG file up to 25 MB.

After each update, Imaging refreshes the order's status and shows the next step.

What can't I do here?

In Imaging, ordering and editing are limited in these ways:

  • Only owners, admins, and clinicians can create or change imaging records.
  • On an archived patient's chart, Imaging is read-only.
  • You cannot sign an order until the required parts of the form are complete. The footer tells you what is still missing.
  • You can use Send by fax only when faxing is enabled for your practice.
  • In Upload report, the Order list shows only open orders.

Common questions

Why do I see Check Ona’s notes before signing?

That warning appears only when Ona drafted the order and has warnings for you to review before you sign.

When does Orders Ona drafted appear?

It appears only when Ona proposed more than one order. Choose the version you want, and Ona fills that choice into the form.

What does Sends with the order include?

The signed requisition is always included. Depending on the patient and the order, you may also see the insurance card, the latest signed note, a recent lab report when the exam uses contrast, and prior imaging reports for the same region.

Why is Preview unavailable?

Preview stays unavailable while the order is still missing required information other than the safety confirmations. Finish the required fields the footer calls out, then try again.

Can I do this on my phone?

Yes. On a phone, Imaging shows either the rail or the selected record, not both at once. After you open a record, use Imaging at the top left to go back to the list. The new-order panel opens full-screen.
