Visit statuses
Understand the visit status labels that appear in Visits and visit records, including the statuses that close a visit for schedule changes.
Visit statuses appear in Visits and in each visit record. In the left sidebar, click Visits, then click the visit to open its record. Owners, admins and staff use the operational visit workspace. Clinicians use a clinical workspace scoped to their own patients and visits.
Visit status meanings
Use this table when you need to interpret the visit statuses whose behavior is confirmed in Visits (in the left sidebar, click Visits) or in a visit record (then click the visit).
| Status | What it means |
|---|---|
| Cancelled | The visit has been cancelled. It is closed for scheduling changes in the visit edit dialog. |
| No Show | The patient did not attend the visit. It is closed for scheduling changes in the visit edit dialog. |
Closed statuses
In the left sidebar, click Visits, then click the visit and select Edit visit. A visit with Cancelled or No Show is closed for scheduling changes in the visit edit dialog.
| Closed status | Scheduling behavior |
|---|---|
| Cancelled | The edit dialog says the visit is closed, so its schedule can't be changed. |
| No Show | The edit dialog says the visit is closed, so its schedule can't be changed. |
You can still open the visit record, but the schedule section is not available for changing that visit's time from the edit dialog.
Where visit statuses appear
Visit status is shown in the places your team uses to manage visits: in the left sidebar, click Visits, then click a visit to open its record.
| Place | What you can see |
|---|---|
| Visits | The visits table includes status information for each visit. Owners, admins and staff can also see visit analytics from this area. |
| A visit record | The visit opens into the visit workspace, where you can work in the chart, billing, forms, consents and other visit pages. |
Role access
In Visits (in the left sidebar, click Visits), status visibility follows the visit workspace each role can access.
| Role | Visit status access |
|---|---|
| Owner | Can use the full operational visit workspace and see visit statuses across the practice. |
| Admin | Can use the full operational visit workspace and see visit statuses across the practice. |
| Staff | Can use the operational visit workspace and see visit statuses, without Settings access. |
| Clinician | Can see statuses in the clinician's scoped clinical workspace for their own patients and visits. |
If a team member has more than one role, their access combines. For example, a clinician who is also an admin gets the admin workspace.
