Global media library

Use the dashboard Media page to review photos, videos, and documents across patients in one place. This reference explains the page's filters, labels, states, upload controls, and access requirements.

Patient chart6 min readUpdated

The global media library is the dashboard Media page. It shows every patient's photos, videos, and documents in one place, grouped newest first by day and then by patient. It uses the same file tiles, preview, and chart-level media tools used elsewhere in Ona; for patient-specific workflows, see Patient media and documents.

Page areas

The Media page has a heading, a filter bar, a scrolling file list, and chart-level file tools.

AreaWhat it does
MediaThe page heading for the global media library. Its description explains that the page shows every patient's photos, videos, and documents, newest first.
Add mediaOpens the upload flow from the page header. You can start an upload even when the list is empty.
Filter barHolds the search box, patient filter, file type filter, Shared, and Show archived controls.
Day headingsGroup files by day. The page orders groups from newest to oldest.
Patient groupsWithin each day, files are grouped by patient. If the patient record still exists, the patient name links to that chart.
Media tilesShow the same chart media tiles used in patient charts. Opening a tile opens the global preview for that file.
PreviewOpens a larger view of the selected file. The preview also shows which patient the file belongs to, and you can move to the previous or next loaded file.
Compare dialogOpens when you start a compare from a media item or from preview. It opens the selected patient's media drive for that comparison.

Filters and labels

The filter bar narrows the global list, and the page uses a small set of labels to explain what you are looking at.

Control or labelWhat it means
Search boxFilters the page by media search text.
Patient filterLimits the page to one patient. When you upload from a filtered page, that patient is preselected for the upload batch.
File type filter menuLimits the page to one or more media kinds.
SharedWhen turned on, shows only files shared with the patient.
Show archivedWhen turned on, includes archived files in the results.
ArchivedAppears next to a patient name when that patient is archived.
Unnamed patientAppears when a patient record exists but has no name.
Unknown patientAppears when a file belongs to a record that is gone. In that case there is no chart link for that file's patient.
Clear search and filtersAppears when search text, a patient filter, file type filters, or Shared return no results. It clears the current search text, patient filter, file type filters, and Shared filter, but it does not turn off Show archived.

Upload, preview, and read-only behavior

The global media library lets you add files and review them, but some files stay read-only.

Tool or behaviorWhat it does
Add mediaStarts the upload flow without dropping files first.
Drop to addAppears as the page's drop target while you drag files over the media area. Dropping files starts the same upload review flow as Add media.
Upload review dialogLets you review the staged files before upload, add more files, choose the patient for the batch, or open the camera.
Camera dialogLets you capture media and then continue back into the upload review flow.
Upload dockShows the upload queue after you confirm uploads.
Preview navigationLets you move backward and forward through the files already loaded on the page. The preview can move across patients, not only within one patient group.
Read-only filesMedia actions are read-only when the file belongs to an archived patient or to a record that is gone.

States and messages

The Media page changes its message and actions depending on whether it is loading, empty, filtered, or unable to load.

StateWhat you see
LoadingThe page shows placeholder rows and tiles while media is loading.
Empty libraryIf there are no files and no active filters, the page shows a no-media empty state with Add media.
Filtered with no matchesIf filters return no results, the page shows a no-results state with Clear search and filters.
Load errorIf the page cannot load media, it shows an error state saying "Couldn't load media" with a retry action.
More results availableAs you near the bottom of the list, the page loads more files automatically.

Access and availability

The global media library depends on your role and on the Global Media view setting for your organization.

1Settings2Media

Use Settings (1) to open the settings area, then Media (2) in Charting to find the Global Media view setting.

RequirementWhat it means
RoleOwners, admins, and clinicians can use the global media library.
Global Media viewThe page is available only when Global Media view is enabled for the organization.
Feature turned offIf Global Media view is off and you open the page, Ona sends you to charting settings instead of showing the library.
ScopeThe page is a global charting view. It shows media across patients, while chart-specific work still happens in the patient's chart media tools. See Patient media and documents and Finding your way around the patient chart.
