Definitions for common Ona terms, including product names, navigation labels, roles, settings areas, and integration names.

This glossary defines terms used across the Ona dashboard, patient charts, visits, billing, communication, and Settings. Use the left sidebar to open dashboard areas; click Settings at the bottom of the left sidebar to open Settings areas.

Product names and internal names

Use these product names when you talk about Ona features. Some features also have internal or older names. To open the visit list, click Visits in the left sidebar. To open a patient chart, click Patients in the left sidebar, then click the patient's name.

Roles

A team member can have one or more roles. When someone has multiple roles, their access combines.

OwnerHas administrative access to organization settings, team management, and billing configuration. Owners also have the full operational dashboard.
AdminHas administrative access to organization settings, team management, and billing configuration. Admins also have the full operational dashboard.
StaffHas the operational dashboard for front-desk and back-office work, without organization Settings access.
ClinicianHas a dashboard scoped to their own patients and visits.

If a clinician also has Owner or Admin, they see the admin dashboard. If a clinician also has Staff, they see the staff dashboard.

Main dashboard areas

These are the main items that can appear in the left sidebar. Use the left sidebar to open these areas. Some appear only for certain roles or when a feature is enabled.

Care TimeCare management time tracking. It appears when CCM is enabled.

Library terms

In the left sidebar, click Library to open reusable content. Some items appear only when the related feature is enabled.

Patient chart terms

To open a patient chart, click Patients in the left sidebar, then click the patient's name. A patient chart has its own sidebar with clinical, communication, intake, dispensary, billing, and settings areas.

Communication terms

Communication terms appear in the left sidebar, patient chart, and Settings. To open Omnichannel, click Omnichannel in the left sidebar. To open patient communication, click Patients in the left sidebar, click the patient's name, then use the patient chart sidebar. To open Settings communication areas, click Settings at the bottom of the left sidebar.

AI ReceptionistSettings for auto-replies and the intake bot.
NotificationsEmail and in-app alert preferences.

Dispensary and prescribing terms

Owners and admins can open dispensary and prescribing settings by clicking Settings at the bottom of the left sidebar. Dispensary and prescribing features appear when enabled for your organization or connected through an integration.

LabsSettings for lab reports and lab orders on patient and visit pages.
Lab ReportsLab results in the patient chart.
Lab OrdersA patient chart timeline for native lab requisitions, Fullscript orders, and Junction orders.
SupplementsCharted supplements, plus Fullscript plans and orders when connected.
JunctionAn integration for lab ordering, notification routing, and link-out.
FullscriptAn integration for syncing supplement protocols and orders.
DoseSpotThe e-prescribing integration for clinic prescribing and patient sync.
E-PrescribingThe Settings group for DoseSpot.

Billing and insurance terms

Billing and insurance areas appear based on your role and enabled features. Open billing areas from the left sidebar; open billing and insurance settings by clicking Settings at the bottom of the left sidebar.

ClaimsInsurance claims. Claims appear for owners, admins, and staff when insurance claim workflows are enabled.
InsuranceSettings for payer and claim defaults. For non-admin team members, it can also mean individual NPI and insurance details.
ClearinghouseSettings for choosing and managing your clearinghouse.
Billing RulesClaim scrubbing rules and per-payer overrides.
Fee ScheduleThe billed amount for each CPT code.
StripeThe payment connection used to accept patient payments.
MembershipsRecurring patient billing. Membership settings appear when Stripe charges are enabled.
ReportsPractice reporting.
Care TimeTime tracked for care management work. Also referred to as care management or CCM.

Settings terms

To open Settings, click Settings at the bottom of the left sidebar. Settings include personal settings for all team members and organization settings for owners and admins.

Common abbreviations

These abbreviations appear in clinical, billing, and patient chart areas. Open billing areas from the left sidebar. To open a patient chart, click Patients in the left sidebar, then click the patient's name.
