Managing inventory
Track physical stock per location — catalog items, count what is on hand, record consumption, and get warned before you run out.
Inventory tracks physical stock — Botox vials, dermal fillers, exam-table paper, retail sunscreen. For a practice doing injectables or selling product, it keeps count of what's on hand and warns you before you run out.
The Inventory page
Go to Inventory in the left sidebar — "track stock, run audits, and configure consumption protocols". A location selector sits in the top right, since stock is held per location.
Four tabs organize it:
- Stock — current items and quantities.
- Movements — the history of stock in and out.
- Alerts — items needing attention (the tab shows a count).
- Protocols — consumption rules.
The stock list
Each item shows Item name and SKU, Category (Injectable, Filler, Supply, Retail), Unit (vial, syringe, roll, bottle, tube), On hand, Reorder at, and Status.
When on-hand falls to the reorder point, status flips to Out of stock or low, and the item surfaces in Alerts. The Reorder at threshold is the number that makes alerts useful — set it to cover your resupply lead time, so the warning arrives while you still have enough to keep working.
Stock actions
Across the top:
- Receive stock — record new stock arriving.
- Transfer — move stock between locations.
- Write off — remove expired or damaged stock.
- Adjust — correct a count after a physical audit.
- New item — add an item to the catalog.
Use Adjust for corrections and Write off for losses — keeping them distinct is what makes the Movements history trustworthy when you reconcile.
Consumption protocols
Protocols connect stock to clinical work: a protocol says how much of an item a given procedure consumes, so booking or charting that procedure draws stock down automatically. This is what keeps counts accurate without someone decrementing vials by hand.
For injectables especially, protocols are worth setting up early. Manual decrementing is the step that gets skipped on a busy day, and skipped decrements are why on-hand counts drift from reality.
Settings
Whether inventory tracking is on, and its catalog defaults, live under Settings → Inventory. The Active only toggle on this page hides discontinued items from the list.
