Adding supplements and using supplement templates
Add supplements to a patient chart, apply reusable supplement templates, and manage supplement template cards and starter library imports.
Supplements are chart records you can add from a patient's Supplements page or from the Supplements section inside a visit. Templates are reusable groups of supplements for protocols your team recommends often; in the left sidebar, click Library, then click Supplements.
How do I add a supplement to a patient chart?
In the left sidebar, click Patients, click the patient's name, then open Supplements in the patient chart. You can also add supplements from the Supplements section inside a visit.
- Select Add supplement.
- If the template picker opens, select Single supplement.
- Search for an ingredient, brand or product from the NIH supplement label database.
- Choose a product, choose an ingredient, or use your typed text as a custom entry.
- If you choose an ingredient that has products, choose a product or select Chart as the ingredient without a product.
- Select Next.
- Fill in Status and Source. Add dose, route, frequency, dates, instructions and a note as needed.
- Select Add supplement.
The supplement appears in the patient's Supplements section. If you add it from a visit, it is linked to that visit.
When you choose a product, Ona shows supplement facts from the NIH label when available. It may prefill dose and route from the product's serving and form, so review those fields before saving.
How do I apply a supplement template to a patient?
In the left sidebar, click Patients, click the patient's name, then open Supplements in the patient chart. Templates appear from Add supplement when your practice has active supplement templates.
- Select Add supplement.
- Choose a template under Templates.
- Review the supplements in the template.
- Clear the checkbox for any supplement you do not want to add.
- Set Source and Start date for the supplements you are adding.
- Select the Add 1 supplement or Add n supplements button.
Ona adds the selected supplements to the chart. If a selected template item is already on the chart as a current supplement, it is skipped and the confirmation tells you how many were added and skipped.
A supplement counts as current for this check when its status is Active, Intended, On hold or Unknown. Ona matches by product label code when available, then ingredient code, then supplement name.
How do I edit or archive a supplement on the chart?
In the left sidebar, click Patients, click the patient's name, then open Supplements in the patient chart. Open a supplement's detail card to see its actions.
- Open the supplement's detail card.
- Select Edit.
- Change the supplement, status, dose, dates, instructions or note.
- Select Change if you need to replace the product, ingredient or custom entry.
- Select Save changes.
- To archive the supplement, open its detail card, choose the archive action and confirm.
Saved edits update the supplement record. Archiving uses a confirmation dialog before the record is archived.
How do I create a supplement template?
In the left sidebar, click Library, then click Supplements. The template page is titled Supplements and includes your template cards and the Library section.
- Select New template.
- Enter the template name.
- Add When to use if your team needs context when choosing the template.
- Select Add supplement.
- Search for a product, ingredient or custom supplement and select Add.
- Add the dose, unit, frequency, instructions and note for that item. Repeat for each supplement in the template.
- Select Create template.
The template becomes available from Add supplement on patient charts and visit supplement sections. When to use is internal and is not copied to the patient's chart.
A template must have a name and at least one supplement before you can save it.
How do I edit, duplicate, retire or delete a supplement template?
In the left sidebar, click Library, then click Supplements. Use the template cards to edit a template or open its actions menu.
- Select a template card to edit it, or open its actions menu.
- Select Edit to change the template name, When to use, supplements, order, doses, instructions or notes.
- Select Duplicate to create a copy named with (Copy).
- Select Retire to hide an active template when applying templates, or Restore to make a retired template available again.
- Select Delete to remove a template, then confirm with Delete.
Retired templates stay on the templates page and are greyed so you can restore them. Deleted templates are removed from your templates. Supplements already charted from a deleted template stay on those patients' charts.
How do I import a starter supplement template from the library?
In the left sidebar, click Library, then click Supplements. Starter templates appear in Library below your practice's template cards.
- In Library, use the category chips or search to find a template.
- Select Preview to review its supplements, doses, instructions, notes and references.
- Select Import.
- Open the imported template.
- Review the supplements and doses, and make any needed edits.
- Select Save if you make changes.
Imported starter templates become your practice's templates. If a library template is already imported, the card shows Open instead of importing it again.
Supplement sources and statuses
Use Source to show whether the supplement is patient-reported or practice-recommended.
| Source | What it means |
|---|---|
| Patient takes it | The patient reported taking the supplement. This is the default when adding a single supplement. |
| Recommended by us | Your practice is recommending it. This is the default when applying a template. |
Use Status to choose how the supplement should appear in the patient's record.
| Status |
|---|
| Active |
| Intended |
| On hold |
| Completed |
| Stopped |
| Not taken |
| Unknown |
| Entered in error |
When applying a template, Active, Intended, On hold and Unknown are treated as current for duplicate checking.
What can't I do here?
In a patient's chart, open Supplements from the left sidebar by clicking Patients, then clicking the patient's name. For supplement templates, click Library in the left sidebar, then click Supplements. Supplement access is limited in these ways:
- A template cannot be saved without a name and at least one supplement.
- Retired templates do not appear when applying a template to a patient.
- Applying a template does not add another copy of a supplement that is already current on the chart.
- If supplements are not enabled for the organization, the supplement template page is not available.
Common questions
Can I add a supplement that is not in the NIH database?
Yes. Search for the supplement name, then use the typed text as a custom entry. Custom entries do not include NIH product facts.
Why did my template skip a supplement?
The patient already has a matching current supplement on the chart. Ona skips current matches when applying a template so the chart does not get duplicate current recommendations.
Does a template description copy to the patient chart?
No. When to use is internal guidance shown when choosing or editing the template. It is not copied to the patient's supplement record.
Can I change the product after a supplement is added?
Yes. In the left sidebar, click Patients, click the patient's name, then open Supplements. Open the supplement, select Edit, then select Change to search for a different product, ingredient or custom entry.
What happens to patient charts if I delete a template?
Deleting a template removes it from your templates. Supplements already charted from it stay on those patients' charts.
