Your profile and signature
Update your own profile, provider identifiers, signature and member card from My Profile. Owners and admins can also update organization contact settings, opening hours, patient visibility, locations and rooms.
Your own profile is in Settings → My Profile. It includes how you appear in Ona, the practice details shown from your profile, and the signature used on documents you sign.
How do I update my profile?
In the left sidebar, click Settings. In the settings menu, click My Profile. Use My Profile to update your own personal and professional details.
- In Your profile, add or remove your Profile photo. Profile images must be under 5 MB.
- Enter your Display Name. This is required and cannot be blank.
- In Personal details, update your legal name, date of birth and gender.
- In Contact, update your Phone if needed. Your Email is read-only because it is your sign-in address.
- In Address and Practice, add the details you want kept on your profile.
- Select Save in the save bar.
Your changes are saved to your profile. Select Discard in the save bar if you want to return to the last saved version before saving.
How do I update my NPI and taxonomy codes?
In the left sidebar, click Settings. In the settings menu, click My Profile. Use Billing identifiers to keep the provider identifiers used on rendered claims current.
- Go to Billing identifiers.
- Enter your NPI. This is your Type 1 individual NPI and is checked against the NPPES registry as you type.
- Add Taxonomy codes in priority order, with the code you bill with first.
- Select Save.
These identifiers are sent on the claims you render.
How do I add or change my signature?
In the left sidebar, click Settings. In the settings menu, click My Profile. Use Signature to manage the handwritten signature applied to documents you sign.
- Go to Signature.
- Add, change or remove your handwritten signature.
- Select Save in the save bar.
Your signature change is submitted when you select Save. If you change your mind before saving, select Discard.
How do I preview and share my member card?
In the left sidebar, click Settings. In the settings menu, click My Profile. Use Member card to preview your credential card before you share it.
- Go to Member card.
- Review the card preview. It updates as you edit your display name, credentials, specialty, bio, photo, phone and NPI.
- Click the card to flip between the front and back.
- Use the sharing control in Member card to share your credential card.
The preview card's front shows your display name, credentials, specialty, member ID and issue year. The back can show your bio, email, phone, NPI and organization name.

How do owners and admins update organization settings?
In the left sidebar, click Settings. In the settings menu, click Organization. Owners and admins use Organization to update the clinic's public contact details, opening hours and patient visibility.
- In Contact & Location, update the clinic Phone number, Contact email, Website and Address.
- In Opening hours, choose the Timezone used for the clinic's hours.
- Turn each day on or off. For open days, set the from and to times.
- In Privacy, choose All Clinicians See All Patients or Assigned Patients Only.
- Select Save.
Opening hours are read in the clinic's timezone. For open days, closing time must be after opening time before you can save.

How do owners and admins add a location or room?
In the left sidebar, click Settings. In the settings menu, click Locations. Owners and admins use Locations to manage physical sites and the rooms nested under them.
- Select Add location.
- Enter the location Name. Names can be up to 100 characters.
- Add the site Phone and Address if needed.
- Add Facility NPI and Taxonomy code if the site should populate CMS-1500 service facility fields.
- In Rooms, select Add a room or Add another room to create rooms with the new site.
- Save the new location.
The new site appears in the locations list. Rooms nest under the site they belong to.
You can also expand an existing site and select Add room or Add the first room to add rooms directly from the list.
How do owners and admins edit or delete locations and rooms?
In the left sidebar, click Settings. In the settings menu, click Locations. Owners and admins use Locations to maintain existing sites and rooms.
- Find the site or room in the locations list.
- For a site, select Edit location. For a room, select the room row to edit it.
- Change the Name, Phone or Address. For sites, you can also change Facility NPI and Taxonomy code.
- Select Save.
- To remove a site or room, select its delete action.
- In the confirmation dialog, select Delete.
Deleting a room permanently removes that room from the organization. Deleting a location that contains rooms also removes all of its rooms, and this action cannot be undone.
What can't I do here?
In My Profile, Organization and Locations, access and actions are limited in these ways:
- You cannot edit your sign-in Email from My Profile.
- Display Name is required.
- Profile images must be valid images under 5 MB. The page asks for JPG, PNG or WebP.
- Staff and clinicians cannot manage Organization or Locations unless they also hold an owner or admin role.
- Organization settings cannot be saved when a phone number or contact email is invalid, or when an open day's closing time is not after its opening time.
- Location and room names are required and can be up to 100 characters.
- Location Facility NPI must be a valid 10-digit NPI when entered.
- Location Taxonomy code must be a valid 10-character NUCC taxonomy code when entered.
Common questions
Can I change my sign-in email from My Profile?
No. Email is read-only in My Profile and is shown as your sign-in address.
What is the difference between my NPI and a location Facility NPI?
Your NPI in My Profile is your Type 1 individual NPI. A location Facility NPI is for the service facility on claims for that site.
Which taxonomy code is used on claims?
In My Profile, Taxonomy codes are saved in priority order. The first code is the one billed on claims.
Why can't I save organization opening hours?
A day with hours must close after it opens. Fix any day where the closing time is the same as or earlier than the opening time, then select Save.
What happens if I delete a location that has rooms?
Ona warns you that the location contains rooms. If you select Delete, the location and all of its rooms are permanently removed.
