Recurring visits

See when a visit belongs to a recurring series, review the other visits in that series, and change or end future visits without affecting earlier records.

Recurring visits let you plan a series of visits and then manage the future ones together. In Ona, recurring-visit details appear in calendar hover cards, visit pages, and the patient's chart so you can see what repeats, what is next, and how many visits are left.

How do I see whether a visit is part of a recurring series?

In the left sidebar, click Visits, then click the visit. On a visit page, a recurring visit shows a recurring-visit button in the header. In a calendar hover card, a recurring visit also shows a recurring-visit line with its place in the series and the repeating schedule.

1Series button

Use the Series button (1) in the visit header to open the series popover.

  1. On the visit page, look in the header for Visit 3 of 10 or Recurring.
  2. Select Visit 3 of 10 or Recurring to open the series popover.
  3. Review the top of the popover for the series title and schedule.
  4. Review the list below for every visit in the series, including each visit's date, time, and status.
  5. If Edit this and following visits appears, select it to change future visits.

The popover highlights the current visit. If the series was ended early, the popover shows Ended early under the schedule. Each visit in the list opens that visit. The Edit this and following visits button appears only when the series still has visits ahead and the view is not read-only.

How do I review recurring visits in the patient's chart?

In the left sidebar, click Patients, then click the patient's name. In a patient's chart, active series with visits still ahead appear in the Recurring visits strip above the visit list.

  1. Above the visit list, find Recurring visits.
  2. Review each row for the series title and schedule.
  3. Read the line below to see the next scheduled visit and how many visits are left.
  4. To change future visits in that series, select Edit.

Only series with visits still ahead appear in this strip. When a series has no visits ahead, it drops out of the strip, but its visits still stay in the list below.

How do I edit only this visit?

In the left sidebar, click Visits, then click the visit. On a visit page, use Edit in the header. On phone, open visit details and use Edit visit. For a recurring visit, Ona asks whether you want to change only this visit or re-plan the series from that point forward.

  1. Select Edit or Edit visit.
  2. In Edit a recurring visit, choose This visit.
  3. Select Continue.

The regular visit editor opens for that visit only. Any changes you make there do not re-plan the rest of the series.

How do I edit this and following visits?

In the left sidebar, click Visits, then click the visit. On a visit page, select Visit 3 of 10 or Recurring and then select Edit this and following visits. In a patient's chart, use Edit in the Recurring visits strip. Use this when the repeating schedule needs to change from one visit forward.

  1. Open Edit this and following visits.
  2. Update the parts of the schedule you need to change: Clinician, Location, From, Time, Repeat, Duration, and Mode.
  3. Review the visit list under the form. Use Skip to leave a date out, Book to add a skipped unbooked date back, or Keep to undo cancelling a booked visit.
  4. Read any Every visit warning above the list, and review each row for availability issues, already booked dates, and booked visits that would be cancelled.
  5. Wait while Ona finishes Working out the visits. If Ona cannot build the preview, it shows Couldn't work out the visits for this rule.
  6. Select Save. If visits will be booked, the button shows Save 1 visit or Save n visits instead.

Earlier visits stay as they are. If the new rule leaves out future booked visits, Ona cancels those visits without a fee, and the patient is not charged for them. If you open Edit this and following visits from a past visit, the change starts at the next visit still ahead.

How do I cancel one recurring visit or end the rest of the series?

When the cancellation flow opens for a recurring visit, Ona asks which visits to cancel.

  1. In Cancel a recurring visit, choose This visit to cancel only that visit, or choose This and following visits to end the series from that visit forward.
  2. Select Continue if you chose This visit, or select Cancel visits if you chose This and following visits.

When you cancel This and following visits, Ona ends the series there, cancels that visit and every upcoming visit after it without a fee, and sends the patient one message listing them.

How do I end a series from the series editor?

In Edit this and following visits, you can end the remaining visits without changing the rule.

  1. Open Edit this and following visits.
  2. Select End series.
  3. In End this series?, review how many visits from that date on will be cancelled.
  4. Select Keep visits to back out, or select End series to confirm.

After you confirm, Ona cancels the remaining visits in that series from that date on.

What can't I do here?

Recurring-visit changes are limited in these ways:

  • You can change or cancel This visit or This and following visits. Earlier visits are not included.
  • If you open This and following visits from a past visit, the change starts at the next visit still ahead.
  • The Recurring visits strip shows only active series with visits ahead.
  • Edit this and following visits and End series appear only when there are upcoming visits from that point.
  • In read-only views, recurring-series edit controls are hidden or disabled.

Common questions

Why does the visit show Recurring instead of Visit 3 of 10?

Recurring means Ona cannot show that visit's counted position in the series there. When it can place the visit in the series count, the button shows Visit 3 of 10 instead.

What does Ended early mean?

It means the series was ended before all of its originally planned visits were kept. You see Ended early in the series popover under the repeating schedule.

What does Skip do?

Skip leaves that date out of the series preview. If that date already has a booked visit, skipping it cancels that booked visit as part of the change. If it does not have a booked visit yet, it stays unbooked.

Why does the editor say Working out the visits?

Ona is recalculating the series with your current rule and checking each date. Wait for the preview to finish before you save.

Why doesn't a series show in Recurring visits anymore?

That strip shows only series with visits still ahead. When a series has run its course, it drops out of the strip, but the visits remain in the patient's visit history.
