Using tasks
The shared to-do board for everything that is not a visit — follow-ups, chasing forms, onboarding steps — assigned and tracked.
Tasks are the shared to-do board for your practice. Anything that needs doing but isn't a visit — following up on a result, chasing a form, onboarding steps — lives here so it doesn't live in someone's head.
The Tasks board
Go to Tasks in the left sidebar — "manage and track your team's work".
Tasks are a kanban board with five columns, each showing a count:
- Backlog — captured, not yet scheduled.
- Todo — ready to start.
- In Progress — being worked on.
- Done — finished.
- Cancelled — dropped.
Drag a card between columns as work moves. The + on each column header adds a task straight into that column.
Cards
Each card shows a title, a tag (e.g. Getting Started, Explore), a date, and the assignee's initials. The seeded workspace uses tasks as an onboarding checklist — "Set your availability", "Invite your team", "Configure your services" — which doubles as a tour of the setup steps.
Filtering and reminders
Above the board:
- Search tasks — find by title.
- All Members — filter to one person's tasks.
- All Tags — filter by tag.
- Manage — manage the tag set.
- Reminders — set reminders so time-sensitive tasks resurface.
On a shared board, tags and assignees are what keep it usable as it grows. A board where every card is untagged and unassigned becomes noise; filtering only helps if the cards carry the labels to filter on.
Tasks elsewhere in Ona
Tasks also attach to a patient — the patient record has its own Tasks section under the sidebar, for work tied to that specific person. The board here is the practice-wide view; the patient record view is scoped to one patient.
